Zoho Books implementation and GST setup
Accounts, GST and collections, set up right from the first entry.
Zoho Books can take hours out of your month-end, but only if the chart of accounts, GST settings, numbering, bank rules and payment gateway are configured correctly before the first invoice. As an authorised Zoho partner and Razorpay partner, we set up Zoho Books around how your business invoices, collects, pays and reports. We migrate your existing data and reconcile it to your last trial balance, and train your accounts team to run it without us.

When Zoho Books makes sense
- You're on Tally or spreadsheets and want accounts available securely from anywhere.
- Sales already runs on Zoho CRM and invoices are being retyped.
- GST returns, e-invoices and payment matching take days each month.
- You collect online and want payments recorded automatically.
- Your CA or investors want cleaner, faster MIS.
What a Zoho Books implementation includes
1. Requirements assessment
We review how you invoice, collect, pay vendors, handle expenses and report today, and what your CA needs from the system. We check your GST registrations, branches, e-invoicing applicability and payment channels, and recommend the right Zoho Books plan.
You receive: a setup plan listing every configuration decision for sign-off by you and your accountant.
2. Chart of accounts and financial configuration
- A chart of accounts designed with your accountant around how you want to report, not the default list nobody uses.
- Financial year, base currency, multi-currency where you trade internationally, and opening balances.
- Branches and locations, reporting tags for departments, projects or cost centres, and invoice numbering series.
- Users, roles and approval workflows for invoices, bills, expenses and payments.
3. GST and TDS configuration
- GST: each GSTIN and place of business, GST treatment for every contact, tax rates and groups, HSN codes for goods and SAC codes for services, reverse-charge settings, and exempt or nil-rated items.
- GST reports: GSTR-1 and GSTR-3B data prepared from your transactions, and reconciliation of input tax credit. Read: Setting up GST in Zoho Books
- TDS: TDS taxes for the sections that apply to your business, applied at transaction or line-item level, with deduction on vendor advances and TDS receivable from customers.
4. E-invoicing and e-way bill workflows
E-invoicing is mandatory for businesses whose aggregate turnover exceeded ₹5 crore in any financial year from 2017–18 onwards (Notification 10/2023–Central Tax, effective 1 August 2023). Zoho is a registered GST Suvidha Provider (GSP), so Zoho Books can connect directly to the Invoice Registration Portal (IRP), push invoices, and receive the IRN and QR code. We set up:
- IRP registration and the Zoho Books connection.
- Invoice templates with every mandatory e-invoice field.
- Who can push, cancel and re-push e-invoices.
- The 30-day reporting discipline that applies to businesses with an annual aggregate turnover of ₹10 crore or more (from 1 April 2025).
- E-way bills generated with the e-invoice where goods movement requires them (generally consignments valued above ₹50,000).

5. Bank feeds and payment gateway reconciliation
- Bank and credit-card accounts connected through automatic feeds where your bank supports them, or statement imports where it doesn't.
- Bank rules that categorise recurring transactions automatically.
- Razorpay: customers pay invoices online, payments are recorded against the invoice, and gateway fees and net settlements are reconciled to the bank. Zoho Payments and ICICI eazypay are also available in India if they suit you better.

6. Data migration from Tally or spreadsheets
Customers, vendors, items, opening balances and open transactions are moved and reconciled to your last trial balance before you go live. Coming from Tally? See our Tally to Zoho Books migration service →
7. Integrations and automation
- Zoho CRM: quotes, sales orders and invoices from one customer record; payment status visible to sales.
- Zoho Inventory: warehouses, batches and fulfilment for product businesses.
- Zoho Expense and Zoho Payroll: where you use them.
- Your own systems: e-commerce, ERP or custom apps through the Zoho Books API.
- Automation: payment reminders, recurring invoices, approval workflows and scheduled reports.
8. MIS reports
Monthly profit and loss, balance sheet and cash flow; receivables and payables ageing; sales by customer, item and salesperson; GST summaries; and custom MIS by branch, project or department using reporting tags. Where you need cross-app reporting (pipeline against collections, for example), we build it in Zoho Analytics.
9. Testing, training and post-implementation support
- A test cycle of real transactions: invoice, e-invoice, payment, bank match, credit note, bill, TDS deduction.
- Hands-on training for your accounts team, plus written guides for daily, monthly and year-end tasks.
- Support through your first month-end and first GST return cycle on the new system.
What you get at the end
- Zoho Books configured to an agreed setup plan, in your own Zoho account.
- Opening balances and migrated data reconciled to your last trial balance.
- GST, TDS, e-invoicing and e-way bills working and tested.
- Bank feeds and Razorpay reconciled.
- MIS reports your CA and management can use.
- Documentation of every setting we chose and why.
Frequently asked questions
[1]Can you move our data from Tally?
Yes. We migrate masters, opening balances and open transactions, and reconcile them against your last trial balance before you go live. See Tally migration.
[2]Do we need to buy Zoho Books through you?
No. We can set up a subscription you already have, or help you choose the right plan and buy it through us as your Zoho partner.
[3]Does Zoho Books handle e-invoicing?
Yes. Zoho Books connects to the IRP as a registered GSP, so you can push invoices and receive the IRN and QR code without leaving Zoho Books. E-invoicing features are available on the Standard plan and above.
[4]Can our CA still work with us?
Absolutely. Your CA can be given accountant access to Zoho Books, and we design the chart of accounts and reports with them.
[5]How long does a Zoho Books setup take?
It depends on the number of GSTINs and branches, the volume and history to migrate, and the integrations. We give you a dated plan after the assessment.
[6]What happens at our first month-end?
We support your team through the first month-end close and first GST return cycle, checking reconciliations and reports with them.
[7]We set up Zoho Books ourselves and it's a mess. Can you fix it?
Yes. We review the chart of accounts, tax settings, opening balances and unreconciled items, and give you a clean-up plan before changing anything.
