Zoho CRM implementation and customisation
A CRM your sales team actually uses, because it's built around how they sell.
Most CRM projects don't fail on launch day. They fail over the next six months, as people drift back to spreadsheets and WhatsApp. We set up Zoho CRM around your real sales process: how leads arrive, who works them, what a qualified deal looks like and what leadership needs to see. Then we automate the follow-up, connect your website, ads, WhatsApp and accounts, and train your team until using the CRM is easier than avoiding it.

Signs it's time for a proper CRM
- Leads arrive by phone, email, website forms and WhatsApp, and some are never followed up.
- Each salesperson keeps their own spreadsheet, so nobody can see the whole pipeline.
- Reports start with "roughly", because the data is incomplete.
- When a salesperson leaves, their customer history leaves with them.
- You already pay for Zoho CRM, but the team works around it.
If two or more of these sound familiar, the problem usually isn't the software. It's that nobody designed the system around your process. That's the work we do.
What a Zoho CRM implementation includes
1. Business process discovery
We start with workshops with your sales, marketing and service teams, and with the people who will use the CRM every day, not just the people paying for it. We map:
- Every source of leads and how each one is captured today.
- Qualification criteria, and who decides when a lead becomes a deal.
- Your sales stages, and what must be true for a deal to move from one to the next.
- Hand-offs to finance, delivery or support after a deal is won.
- The ten or so reports leadership actually uses.
You receive: a process map and a written solution design for sign-off before anything is configured.
2. CRM architecture and configuration
- Modules and fields: Leads, Contacts, Accounts and Deals configured with the fields you need and nothing you don't; custom modules where your business has objects of its own (properties, loan applications, projects).
- Layouts and validation: page layouts per team, mandatory fields at the right stage, and validation rules that stop bad data at entry.
- Pipelines: one or more pipelines with stages that have clear exit criteria, so the forecast reflects reality.
- Roles, profiles and sharing rules: each person sees and edits exactly what their job needs.
3. Lead, contact, account and deal management
We set up the rules that keep records clean: duplicate checks, lead conversion mapping, account hierarchies for groups of companies, and a clear owner for every record.
4. Workflow automation and assignment rules
- Assignment rules route new leads by territory, product, source or round robin, so every enquiry has an owner within minutes. In Zoho CRM, assignment rules apply to records arriving through web forms, imports and the API.
- Workflow rules send follow-up reminders, alerts and emails, and update fields automatically.
- Blueprint enforces your sales process step by step where it matters, for example approvals before a discount or documents before a deal closes.
- Approval processes for discounts, credit terms and quotes.
- Deluge functions for logic the standard tools can't express.

6. Data migration
We clean, de-duplicate and import your existing data from spreadsheets, another CRM or email, then reconcile record counts with you before go-live. Coming from Salesforce or HubSpot? See our CRM migration service →
7. Reports and dashboards
Dashboards for leadership (pipeline, forecast, win rate, revenue by source) and working views for each team (my open deals, overdue follow-ups, leads awaiting first contact). Where reports need data from several apps, we build them in Zoho Analytics.
8. Training and adoption
- Role-based training sessions for sales reps, managers and admins.
- Short written guides for everyday tasks.
- A named internal CRM admin, trained to make routine changes.
- A usage review after go-live to find where people are working around the system, and fixes for each case.
What you get at the end
- A Zoho CRM configured to your documented process, in your own Zoho account.
- Clean, migrated data, reconciled with you.
- Automation for assignment, follow-ups and approvals.
- Integrations with your lead sources, communication channels and accounts.
- Dashboards for leadership and every team.
- A configuration document covering every field, rule and integration we built.
- Trained users and a trained internal admin.

Frequently asked questions
[1]How long does a Zoho CRM implementation take?
It depends on the number of teams, pipelines, integrations and how much data needs cleaning. A single sales team with standard integrations is a much smaller project than a multi-department rollout with migration. After discovery we give you a written plan with dated milestones.
[2]What does it cost?
Implementation cost depends on scope, and the Zoho licence is billed separately by Zoho per user. We quote a fixed price for a fixed scope after discovery. Our guide explains what drives the cost: Zoho CRM implementation cost in India.
[3]Which Zoho CRM edition do we need?
The right edition depends on the features you need: some automation, territory and analytics features are only in higher editions. We recommend the lowest edition that covers your design, and tell you exactly which features drive that choice.
[4]Can you fix a Zoho CRM someone else set up?
Yes. We start with a health check of your data, fields, automations and reports, give you a written list of what to keep, fix and remove, and then work through it in priority order.
[5]Will our team actually use it?
Adoption is designed in, not hoped for. We involve users in discovery, remove fields nobody needs, automate the boring parts and review usage after go-live. If people are working around the CRM, we find out why and fix it.
[6]Can Zoho CRM work with WhatsApp?
Yes. We can connect WhatsApp Business so messages and templates are available from the customer record. The exact setup depends on your WhatsApp Business account and provider.
[7]Do you provide support after go-live?
Yes. We offer ongoing admin support and optimisation, from adding a field to redesigning a pipeline as your sales process changes.
[8]Who owns the data and configuration?
You do. The Zoho account is yours, admin rights stay with your team, and we hand over full documentation.
