Migrate to Zoho CRM without losing your history
From Salesforce, HubSpot or spreadsheets: records, activities and owners moved, checked and reconciled.
Switching CRM is rarely about the data alone. It's about keeping years of customer history, not breaking the reports your managers rely on, and getting the sales team productive again in days, not months. We plan the move, map every object and field, run a test migration you can check, and switch over on a date that suits your sales calendar.

Why companies move to Zoho CRM
The usual reasons are licence cost as the team grows, wanting sales connected to Zoho Books and other Zoho apps, or a system that became too complex to maintain. Moving is worth it only if the new setup fixes what was wrong with the old one. That's why every migration starts with design, not export.
What we migrate
Accounts / companies, contacts, leads
- Notes
- With owners, sources and custom fields
Deals / opportunities
- Notes
- Stages mapped to your new pipeline; closed history kept for reporting
Activities: tasks, calls, meetings, notes
- Notes
- Linked to the right records
Products, price books, quotes
- Notes
- Where used
Attachments
- Notes
- Where the source system allows export
Users and ownership
- Notes
- Mapped to Zoho users before import
Custom objects
- Notes
- Rebuilt as custom modules in Zoho CRM, then migrated

From Salesforce
Zoho CRM's data migration wizard includes a Salesforce option that maps modules and fields, and can create fields that exist in Salesforce but not yet in Zoho. We use it where it fits, and supplement it with prepared CSV imports for objects, relationships and history it can't carry cleanly. Salesforce automation (flows, process rules, validation rules) doesn't migrate automatically; we rebuild what you still need as Zoho workflows, Blueprints, validation rules and Deluge functions.
From HubSpot
Zoho CRM can migrate HubSpot data through HubSpot's API: companies, contacts, deals, tasks, meetings, calls, notes, owners, products, quotes and deal line items. Some things need extra work. Custom objects aren't carried by the API migration, records keep only their first ten tags, and a migration pauses if too many records in one module are skipped. We plan for these before the run, not after.
From spreadsheets or another CRM
We clean, de-duplicate and standardise your files, agree the mapping with you, and import through Zoho CRM's migration tools or API.
How a migration runs
- Audit the source: objects, record counts, fields in use, automation, integrations, data quality.
- Design the target: your Zoho CRM structure, which is a chance to drop fields and stages nobody uses.
- Map and clean: a field-by-field mapping document, signed off by you.
- Test migration: a full or sample run into a test environment; you check the records you know best.
- Rebuild automation and integrations: workflows, assignment rules, forms, email and telephony.
- Cut-over: a final delta migration on the agreed date, with record counts reconciled source-to-target.
- Train and support: your team works in Zoho with us on hand for the first weeks.
How we protect your data during the move
- Read-only access to the source system wherever possible.
- Exports stored encrypted and deleted after sign-off.
- Record-count and spot-check reconciliation for every object, shared with you in writing.
- The source system stays available read-only until you're satisfied.
What changes for your team
A migration is also a change in how people work. Before cut-over we walk each team through what's different: where their deals and tasks now live, which views replace the reports they used, how leads now reach them, and what's been simplified. Sales managers get their pipeline and forecast dashboards rebuilt first, because if managers review the pipeline in Zoho CRM from week one, the team follows.
After go-live
For the first weeks after cut-over we watch the things that usually go wrong: leads arriving from a form still pointed at the old CRM, records with missing owners, automations firing twice and reports that don't match the old numbers. We fix them quickly, and at the end of the hypercare period we hand over a short document listing the configuration, automation, integrations and the mapping used, so your team, or any future partner, knows exactly how the system was built.
Frequently asked questions
[1]Will we lose our email history and activities?
Not if they can be exported from the source system. We map activities and notes to the right records and tell you in advance about anything the source system can't export.
[2]Do our automations move across?
No CRM migrates automation directly between platforms. We list every active automation in your current CRM, agree which are still needed and rebuild them in Zoho.
[3]How long will the sales team be without a CRM?
We plan the cut-over so the team switches from the old system to the new one with little or no gap, usually at a week's end, with a final delta migration of anything created in the meantime.
[4]Can we keep using Salesforce or HubSpot for a while?
Yes, read-only, for reference. Running both systems live in parallel usually creates conflicting data, so we avoid it.
[5]What does a migration cost?
It depends on record volumes, objects, data quality and the automation to rebuild. We quote a fixed price after auditing the source system.
